1 . Euro Currency Transition Updates

Business Navigator (ERP, CRM) is fully prepared for the transition from the Bulgarian lev to the euro, including operations during the transitional period and beyond. This is made possible by defining two types of currency for value recalculation: national currency and alternative currency.

Before the euro becomes the national currency, it must be set as the alternative currency. Once configured, reports can be displayed either in the national or the alternative currency, depending on user preference. Switching is done by simply checking the "In alternative currency" box in each report.

When a new national currency is defined, historical data remains stored in the previous currency, allowing reversibility when entering past-period data or generating reports. During the transition, only the exchange rate between the old and new currency needs to be set in the master data. All values are automatically recalculated by the system based on the relevant period.

1.1. National Currency Type

The Business Navigator system allows users to define the national currency via the menu: "Master Data → Main Definitions → Default → National Currency".

This setting must be configured before activating the period starting on 01.01.2026. The table includes the following columns:

  • Effective Date
  • Nominal Factor
  • Currency Code
  • Currency Name

To define the new national currency (Euro), enter:

  • Currency Name: Euro
  • Currency Code: EUR
  • Effective Date: 01.01.2026
  • Nominal Factor:
  • 1.95583 before 01.01.2026
  • 1.000000 after 01.01.2026

The Effective Date field marks the transition point between currencies. Based on the values entered, the system automatically calculates the nominal conversion factor for each period. During accounting operations, Business Navigator uses these values to automatically convert amounts between currencies.

1.2. Recalculation from National Currency (BGN) to Alternative (EUR)
With the euro set as the alternative currency, Business Navigator is fully equipped for the transition. For periods before the euro becomes the national currency, it must be defined as an alternative currency.

To configure this, go to: "Master Data → Main Definitions → Defaults", then open the "National Currency" page. Currently, the system contains one entry: Bulgarian lev.

When editing this entry, the input screen has two tabs:

  • General Information
  • Alternative Currency

Select the "Alternative Currency" tab and define the euro as follows:

  • Currency Name: Euro
  • Currency Code: EUR
  • Conversion Factor: 0.511291881

The Conversion Factor is entered by the user to enable automatic recalculation from the national to the alternative currency. The precision of this factor has been increased from 6 to 9 decimal places to avoid discrepancies in large amounts.

Defining an alternative currency does not affect stored data — only the way reports and statements are displayed. Reports can be generated in both national and alternative currencies, recalculated using the specified conversion factor.

Each report includes a "In alternative currency" checkbox, allowing users to toggle between currencies. The name of the selected currency is displayed in the report header.

1.3. Batch Price Recalculation Coefficient
Automatic recalculation of batch prices for accounts with analytical type "Inventory" is performed within the account data.

To access this, open the account (e.g., 7021 – Sales of Goods) and click the "Batches" button. At the top of the batch list table, a "Prices" button appears, offering various options for setting batch price values.

The "Coefficient" field enables recalculation of batch prices in the new currency. The precision of this coefficient has been increased from 6 to 9 decimal places, ensuring greater accuracy for large amounts.

We recommend that, upon the euro becoming the national currency, you create a new account with the same batches, but convert the prices to euro in the new account. This approach preserves historical data in BGN for potential corrections in past periods. Rounding Precision -The rounding precision of batch prices also matters. By default, the system rounds to the 4th decimal place.During recalculation, we recommend temporarily switching to 6 decimal places, then reverting to your preferred precision. This ensures maximum accuracy in price values.

1.4. Dual-Currency Invoice Printing

The new special printing of the multi-line invoice is designed to display the values on the invoice lines simultaneously in BGN and EUR, along with taxes and discounts in the subdocument lines.
In this version, the file with the design of the special print is StdInvEUR.rpt, which is installed in the nav directory, Document subdirectory on the computer where the Business Navigator database is installed.
To use the special printing, please perform the following steps:

  1. In the data of the company you are processing, open the menu "Master data-Main definitions-Document types"
  2. Edit the document type of the invoice that you will print simultaneously in BGN and EUR.
  3. Click the Additional parameters button

4. On the "Printing modes" page, click the "Add" button. In the newly appeared screen, fill in the following data:

  • This special printing allows the invoice to have one tax or discount entered per line.
  • Printing is done from the special printing button.

1.5. Balance Reports in BGN and EUR

2.4. Balance Sheet and Equity Report – Advance Dividend Distribution

Due to recent legislative changes regarding the advance distribution of dividends by commercial companies, firms are now required to disclose such events in their Annual Financial Statements (AFS).

To support this, the official Balance Sheet form now includes a new line item with code:    05601 – Advance Distribution of Current Profit.

This update necessitates changes to the layout and template of the Balance Sheet report within the Business Navigator ERP/CRM system.

Since there is no unified accounting standard for recording advance dividend distribution, we propose the following solution for structuring the chart of accounts:

Edit existing account:

  • If account 121 – Prior Years’ Uncovered Loss has been used previously, rename it to: 1211 – Prior Years’ Uncovered Loss
  • Create new parent account: 121 – Prior Years’ Loss
  • Link subaccount 1211 to parent account 121
  • Add new subaccount: 1212 – Advance Dividend Distribution
  • Link subaccount 1212 to parent account 121
  • Importing Updated Balance and Equity Reports

To use the updated reports reflecting advance dividend distribution, each company must import them via the menu: Basic Data → Basic Definitions → Report Definitions. Import the new reports from the file: REPBalOtcheti2024.NAV. After import, new entries will appear in the report list, including:

  • Balance Sheet – Advance Dividend Format .
  • Statement of Changes in Equity – Advance Dividend Format.
